This privacy policy sets out the way we process your personal data, to make sure that you are aware of how we use your data as a customer of Bespoke Gas Ltd. Under the General Data Protection Regulation (2018) which governs Data Protection, we are required to give you a clear understanding of how and why we process your data, and what our position is, in this relationship.

Data Controller

As we are required to collect data from you in order to fulfil our service to you, we are classed as the Controller of your personal data. This means it is our responsibility to ensure that the data we collect is controlled effectively and that it is protected at all times.

How we collect your information

We may collect your personal data in a few limited ways, namely:

  • Directly from you, when you make enquiries on our website, via email or telephone;
  • From someone else who has requested our services for you on your behalf (for example a family member who has provided us with your contact details for that purpose);
  • From a third-party, e.g. Checkatrade

The types of information we collect

We may collect the following types of personal data about you:

  • Contact and communications information, including email address(es), telephone numbers and postal address(es)
  • Records of communications and interactions we have had with you;
  • Financial information, including payment details;
  • Certain other information which you volunteer when making use of our services, e.g. your boiler details
  • We may also collect data about your property, where you have volunteered this, for example measurements, so that we can provide you with a quote for a requested service

How we use personal data

Personal data provided to us will be used for the purposes set out at the time of collection and, where relevant, in accordance with any preferences you express. More generally, we will use your personal data for the following purposes:

  • Administration of your service / installation, e.g. providing quotes, arranging dates, etc.
  • Ordering
  • Invoicing

Why we need your personal data and what we intend to use it for

We are required to process your personal data as part of the performance of your contract with Bespoke Gas Limited, where this is necessary for our legitimate interests, and/or where we have your consent, as applicable.

Your data will only be collected for specified, contractual and legitimate purposes meaning that as well as using the data to perform your contract, we may use it for:

  • notifications about due services (e.g. boiler maintenance visit)
  • other products/services provided by Bespoke Gas limited that we may offer to you unless you tell us not to do so

We will not ask for more information than we need for the purposes for which we are collecting it

We will update our records when you inform us that your details have changed

As a business that prides itself on repeat custom, we will safely store your data to allow us to offer an ongoing service (e.g. annual maintenance visits). We will therefore retain your personal data for the length of time needed to offer the requested service, and until such a time as you should ask us to delete it, or amend your contact preferences. This is of course subject to any outstanding financial reporting requirements, agreements or warranties.

Your marketing preferences

We will always respect your wishes in respect of what type of communications you want to receive from us and how you want to receive them. There are some communications, however, that we need to send you regardless of your marketing preferences in order for us to fulfil our obligations to you as a customer. Examples of these essential service communications are:

  • Records of transactions, such as payment receipts or Direct Debit confirmations (as applicable)
  • Important communications, such as warranty details

Sharing your information with others

We do not sell or share your personal data for other organisations to use. Personal data collected and processed by us will only be shared with the following third parties, and only where necessary:

  • Our employees and volunteers, for the purposes of delivering your service and ensuring a high level of customer service
  • Software providers, for the purpose of administering your contract, e.g. customer relationship management, financial packages, etc.

Policies and processes we have to protect your rights as the ‘Data Subject’

Under the GDPR you have a number of ‘rights’ which you can exercise at any time. These rights include:

  • access the data we hold for you (usually within 1 month)
  • correct inaccurate data
  • where the contract has ended, you have the right to be forgotten and your personal data to be deleted (subject to any outstanding financial reporting requirements, agreements or warranties)
